Brewer Garrett the leader in HVAC and Building Facility Services is looking for an Office Manager to assist our team on a local college campus.

Position Summary: Answer service calls from college administrators, educators, and students and dispatch technicians accordingly. Receive calls from technicians and record their completed work. Develop and implement schedules for field and support staff to ensure customer and departmental goals are met.

  • Make and receive phone calls from customers and technicians to communicate and prioritize work assignments
  • Provide logistical support to the field to ensure maximum output per man-hour
  • Be available on an on-call basis to support customer and field needs 24/7
  • Dispatch appropriate technician to satisfy customer problem based on skill, nature of the problem, location of problem and location of personnel
  • Ensure proper paperwork is received by and from a technician as required, including work orders, tasking, start-up sheets, etc
  • Understand and manage financial requirements for each project and service contract. Notify Program Manager if financial expectations are at risk of not being met
  • Advise the Program Manager of any customer concerns immediately
  • Maintain daily and monthly SysAid reports
  • Assume receptionist duties, greet public and refer them to appropriate staff members, answer the phone, route calls and take messages
  • Monitor both the campus work order requests system (SysAid) and Brewer-Garrett's work order system (COINS)
  • Generate SysAids for all work order requests coming in by phone, email, radio or in person
  • Manage SysAids to prioritize work by the technicians
  • Assist with compiling inventory lists and other data entry needs
  • Organizational assistance as needed
  • Issue purchase orders, scan purchase orders into the shared drive and send via FedEx weekly to Middleburg Heights
  • Manage daily start-up and end-of-shift meetings with the technicians and dispatch throughout the day
  • Assist in the creation of weekly PAR reports
  • Manage the Green Apple program at Central State. This includes weekly building walk-throughs to determine if all is being done to conserve energy.  Then write a report for the building manager and Central State management
  • Assist in sending information for the quarterly review with the University Vice President, Campus Facilities Manager and Brewer-Garrett Management
  • Manage and coordinate campus event set-ups and moves. This includes large events such as Football Games, 2 yearly State Science Fairs, Homecoming, Spring Fling, Baccalaureate and Commencement
  • Occasionally assist in set-ups, moves and constructing the President's tents for outdoor events
  • Contact subcontractors for service when needed
  • Attend weekly Residence Life Staff Meetings
  • Assist in managing after-hours emergencies, sometimes requiring on-site assistance. Also on-call for advice to technicians called in for after-hours emergencies
  • Occasionally go off-site to pick up supplies and equipment, and to make the weekly run to FedEx
  • Receive deliveries and mail

Education and Experience

  • High School graduate.
  • Excellent communication skills (reading and writing)
  • Proficient in Microsoft programs (Word, Excel, Outlook) 
  • Preferred at least one year of experience in a property management position
  • Should be familiar with disciplines associated with performing facilities-related operations and maintenance, including electrical, carpentry, HVAC, etc.

Standard office hours are Monday-Friday, 7 am-4 pm.
